The Goal of Ebioverify.

After identifying the critical challenges facing Nigerian organisations during employee onboarding, the development team established these clear objectives for the Ebioverify platform:

  1. Fast and easy employee onboarding that enables large organisations to collect and collate employee information with minimal friction and maximum efficiency.
  2. Biometric employee enrolment functionality that provides organisations with a reliable method to capture and store both biometric data and facial identification for every employee throughout the employment lifecycle.
  3. Employee verification that quickly and accurately validates all employee information by cross-referencing provided data against the National Identification Number (NIN) system.
  4. Duplicate employee elimination to address the pervasive problem of organisations maintaining duplicate or triplicate records for the same employees with conflicting information across different systems, using intelligent duplicate detection and biometric matching.
  5. Eliminating the existence of ‘ghost workers’ within an organisation’s employment database.

Designing A Market-ready MVP

Once the core goals for Ebioverify were established, the team transitioned into designing an MVP ready for deployment in the corporate market. Embracing agile methodology, the development process involved continuous testing and iteration at every stage of the product design cycle. This approach ensured that each feature met real-world needs while maintaining focus on the essential functionality.

Rather than building an extensive feature set that might overwhelm users or delay launch, the team concentrated on perfecting the core functionality that organisations needed most urgently, as detailed below:

 

Dashboard & Navigation

The application required a central control hub that could intelligently display relevant information based on each user’s role and responsibilities within their organisation. The Dashboard serves as this command centre, presenting the most recent and pertinent analytics at a glance. System administrators can immediately see how many employees have been uploaded to the system and how many have completed biometric capture.

Navigation design presented a unique challenge given the robust nature of Ebioverify’s feature set. The platform needed to accommodate multiple complex workflows without creating confusion or requiring extensive training. The solution came in the form of a side navigation menu that organises features into logical categories, enabling intuitive movement throughout the application. Users can quickly access employee upload functions, biometric capture tools, reporting dashboards, and administrative settings without hunting through nested menus or complex hierarchies.

Employee Upload

The Employee Upload flow represents the critical entry point where organisations begin the verification process. This feature was designed to immediately validate employee identities using Nigeria’s NIN database. When HR staff upload employee information, the system performs real-time NIN verification, confirming that the provided identification number exists and matches the employee’s stated personal details. This immediate validation enables organisations to verify employee identities and detect potential duplicates before individuals are added to both the organisation’s HRMS system and the Ebioverify employee database.

Accounting for large employment cycles, a bulk upload option was also designed, where ID information is automatically validated when the employee data set is uploaded to the system.

To help organisations manage their onboarding processes effectively, the employee upload feature includes an enrolment limit setting. This functionality enables organisations to define maximum employee counts per hiring cycle, helping HR teams pace their onboarding activities. The system displays the verification status of every uploaded employee, showing which records have been successfully verified and which require attention. System Administrators can edit provided information directly within the interface and resubmit records for verification where necessary.

Biometric Capture

True to its name, Ebioverify’s biometric capture capabilities form the heart of the platform. The system leverages the latest facial recognition and fingerprint technology to create comprehensive profiles for employees. The biometric capture process creates multiple data points for each employee, including high-resolution facial scans and complete fingerprint records. This multi-modal approach enhances security while providing organisations with flexible authentication options for future use. The captured biometric data integrates with the verified NIN information to create a complete employee profile that is virtually impossible to duplicate or falsify.

Role Creation & User Management

Large organisations need sophisticated delegation capabilities to manage complex onboarding workflows effectively. The role management feature addresses this need by giving system administrators complete control over user permissions and access levels within Ebioverify. Administrators can create roles with specific permissions tailored to different job functions, ensuring that each user can access the tools they need without exposure to sensitive functions beyond their responsibility. Once roles are defined, administrators can assign verified employees to appropriate positions within the Ebioverify system.

Activity tracking represents another critical dimension of the user management system. Administrators can monitor user actions within the application, creating accountability and enabling rapid troubleshooting when issues arise. The system maintains comprehensive audit logs showing who performed which actions and when, supporting both operational management and compliance requirements. The Reports dashboard collates all relevant metrics into a centralised interface where system administrators can analyse trends, identify bottlenecks, and measure onboarding efficiency across different time periods or organisational units.

The analytics system offers flexible filtering options that allow administrators to segment data according to various criteria. This granular reporting capability supports both day-to-day operational management and strategic planning for future hiring initiatives.
